Data retention and privacy

Control how long conversations are kept and keep on the right side of GDPR.

Why retention matters

Conversations can contain personal details, so you shouldn't keep them forever. Data retention lets you set how long comxbot holds onto chat history before it's automatically deleted. This is a core part of GDPR, which expects you to keep personal data only as long as you actually need it.

Shorter is usually safer. Pick a window that suits your business, for example long enough to follow up on a lead but not so long that old chats pile up.

Setting your retention period

Go to Settings, then Data retention, and choose how long to keep conversations. Once a chat is older than that, comxbot deletes it for you, so you don't have to remember to clean up.

Leads you've captured are separate, because you'll often need those longer to actually do business. The retention setting is about the raw chat history.

Handling data requests

Under GDPR, a person can ask to see or delete the data you hold about them. comxbot keeps a full audit trail and minimises the personal data it stores, which makes these requests much easier to answer.

If you need to remove a specific person's data, you can do it from the dashboard. For colleges and regulated businesses, the audit log gives you the evidence you need to show you handled it properly.
